THE ROLE
​
We are seeking a highly organized and proactive Resourcing Coordinator to join our team. This position is essential for the smooth and efficient onboarding of both new shipboard employees and support our growing network of freelancers. Reporting to the Recruitment Director, you will be the primary administrative support for all recruitment and onboarding activities, ensuring a seamless and positive experience for all candidates and new team members.

This role will commence as a part time position (24 hours per week), but with scope for growth into a full time role with opportunity for greater responsibility as our business grows.

KEY RESPONSIBILITIES

Recruitment & Onboarding Administration
​

Candidate Support: Serve as the main point of contact for new joiners and freelancers regarding travel, onboarding documentation, and general administrative inquiries.

Travel Coordination: Arrange and manage all necessary travel / paperwork logistics for new employees and freelancers joining the academy or travelling for assignments on behalf of the Academy (e.g., flights, accommodations, visa support).

Documentation Management: Maintain and manage all candidate files, ensuring all necessary employment and compliance documentation is completed accurately and in a timely manner.

Interviewing & Sourcing

Initial Screening: Conduct selected first-stage interviews (by video) to assess candidates' basic qualifications, experience, and cultural fit before they are passed on to the Director.

Candidate Sourcing: Actively search job boards, internal databases, and professional networking sites to identify and present suitable CVs/resumes for current and future vacancies to the Director.

Scheduling: Coordinate and schedule interviews between candidates and the hiring team.

Freelancer Assignment Support

Assignment Logistics: Assist the Recruitment Director in coordinating the deployment and return of freelancers for their assignments, ensuring all necessary arrangements are in place.

Training & Readiness Assistance: Assist the brand partners in ensuring that freelancers have received the necessary training and information to represent brands successfully onboard.

Administrative Assistance: Provide ongoing administrative and expenses support to active freelancers, assisting with queries related to contracts, payments, and assignment-specific requirements.

Required Skills & Experience

Proven experience in a recruitment, HR, or administrative support role (experience in a high-volume environment is a plus).

Exceptional organizational and time management skills with a strong ability to manage multiple tasks and competing deadlines simultaneously.

Excellent written and verbal communication skills; ability to communicate professionally and clearly with candidates, freelancers, and internal stakeholders.

Strong attention to detail for coordinating complex travel arrangements and managing critical documentation.

Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and experience with an Applicant Tracking System (ATS) or CRM is desirable.

Ability to handle sensitive and confidential information with discretion.

Preferable experience working previously in the cruise / travel industry including knowledge of shipboard visa requirements, STCW, medicals etc
